Rebecca’s Etsy Series, Part 3: Making the Most of Etsy’s Listings Manager Feature

Last year Etsy debuted a shiny new “Listings Manager” to sellers on the online shopping platform. It’s a centralized tool to renew and create new listings, work on your shop sections, see an individual item’s stats, and much more. This feature makes it so easy to keep your shop up-to-date and running smoothly, and everything is right there in one place. Here are my favorite aspects of the Listings Manager…

View Your Current and Past Listings

As the title suggests, the Listings Manager is the main place to view, edit, renew, deactivate, and delete your items. It’s divided into Active, Draft, Expired, Sold Out, and Inactive listings (in that order) in the panel on the left side. The default when you open the Manager is your Active listings, but you can easily see each listing status section by clicking on the button next to the word.

The Manager offers so much flexibility for sellers to find and organize their list of items. For instance, you can use the “Sort” button on the upper right to see your listings alphabetically, by the available quantity (stock), expiration date, or price. Another way to filter the search of your items is by Section (more on that later), Shipping Profile, and Tags below the listing status options. The tag filter is especially useful because it shows you how many of your items are using a particular word. These Manager sort features are only visible to the seller and will not be seen by your shoppers on the site.

Search All of Your Products by Term

You can also easily search through all of your listings in the space on the left with the magnifying glass icon. It will look through all of your titles and tags to find a specific term that you have entered. This is really useful to narrow down items that are in different shop sections and those that have expired or sold out. For example, if I’m trying to find all of my “fake food” jewelry, I can search for that phrase and narrow it down by each of the kind of listing status (active, expired, sold out, etc.). The Manager can find every product you’ve listed that uses a term as long as you’ve never totally deleted it.

Quick Edit to Save Time

Another great way to use the Manager is to “quick edit” your item listings. At the top of the right side you’ll see a button to do this- simply click on it and you’ll be able to adjust the quantity, price, shop section, shipping profile, and much more of your items. This saves so much time because you won’t have to go into the individual listing’s edit page every time you want to make a small change!

Bulk actions are also really easy with the Listings Manager. Just check the box beside the item or items you want to perform an action to until the box on the top left turns blue. Then choose what you want to do from the list of options. You can renew, delete, deactivate, manage renewal options, and much more all in one place.

Set Your Featured Listings

The Listings Manager also enables you to add, remove, and rearrange your shop’s featured listings. These are the four listings you can prominently display at the top of your Etsy shop, adding more visual impact to your store. You can change them as often as you would like at no cost. Simply go to the Listings Manager and click on “Featured listings” to pull up the already featured items, or you can select them from your active listings by clicking the star until it becomes yellow. To unselect a featured listing just click the star again until it returns to grey. Use the “Manage” button next to “Featured listings” to rearrange the order of these prominent items.

View Stats for Each Item Listing

In addition to editing and search capabilities, the Listings Manager also shows you stats for each item. The little button with a bar graph (next to “Quick Edit”) toggles this feature on and off. When it’s turned on the stats shown includes item’s views and favorites for the last thirty days. You’ll also see the number of sales, revenue amount, and number of renewals of the item for all time (which is as long as it’s been listed). This is a fantastic tool for measuring an item’s popularity and sales potential in your shop over a period of time.

Manage Your Shop Sections

The last way I use the Listings Manager is to rearrange and edit my Shop Sections. Sections are essential to organizing your store’s items so it’s easier for shoppers to browse the products. The Manager allows you to move the order of your sections (for the public view of your shop page) as well as add new, delete current, and edit exiting sections. To access this tool just select “Sections” and then “Manage” under the filter drop-down on the main page.

Note: Access the Manager on the desktop version via the drop-down from your shop icon at the top of the page. Click on “Quick Links,” then “Listings Manager” towards the right side to open it. You can also get to the Manager on the left side of the page that lists all of the shop settings and controls.
